Personal data collected by Profile Vehicles Oy
We collect personal data primarily from the registrant himself and in connection with the use of our services. In addition, we may collect information from publicly available sources, such as the population register, authorities, credit reference companies, contact information service providers and other similar trusted parties. Personal data is only collected for the purposes described in this data sheet within the limits of the applicable legislation. Information received from third parties is updated manually.
The personal data we collect can be divided as follows:
- Basic information of the consumer-customer: customer number, first and last name, postal address, telephone number, e-mail address
- Company customer representative information: name, title, company, postal address, e-mail address, telephone number
- Information related to statutory requirements: tax country or foreign tax registration number
- Customer history (e.g. contacts, orders, feedback, information related to invoicing and collection)
- Information and technical information related to online behavior: IP address, cookies sent to the person’s browser, device information
- Information related to marketing and sales promotion: marketing measures aimed at the data subject, direct marketing prohibitions and consents
- Publicly available information from other external sources: registers maintained by the state and authorities, credit information registers
Interest and profiling data
Purpose of use of personal data and basis for processing
We collect personal data for the following purposes:
- Customer communication and execution of the customership: The main purpose of collecting personal data is to enable the delivery of the desired product or service or to make an offer.
- Legal obligation: accounting regulations, reporting to authorities
- Marketing, product and customer analyzes (legitimate interest): Personal data is also processed in connection with marketing, product and customer analyses. The purpose is to develop business, systems and marketing processes and thereby improve our services or selection. This may also involve profiling (see below).
- Marketing based on consent: Direct marketing messages sent to our customers, e.g. emails, are based on consent. Both consumer and business customers can withdraw their consent at any time.
- Profiling and statistics: We profile customers based on online behavior in order to obtain statistical information, for example with the help of Google Analytics. Automated decision making
We use automatic decision-making to profile the customer so that we can offer the user content that interests them. Profiling is based on cookies.
Disclosure of information
Some of the register data may be transferred to the partners’ servers so that we can offer our service in the best possible way. We use such partners for technical and logistical reasons.
Our partners process data only for the purpose of maintaining Profile Vehicles Oy’s customer relationship and technical interfaces.
Data transfer outside the EU or EEA
In processing your personal data, we may use service providers who may have access to your personal data from outside the EU/EEA area, such as the United States. We take care of the appropriate and legal implementation of the transfers in accordance with the legislation on the processing of personal data.
In all situations, we transfer your personal data outside the EU/EEA area only on one of the legal grounds mentioned below:
- The European Commission has decided that an adequate level of data protection has been ensured in the receiving country;

Register protection and personal data retention period
Only our employees who have the right to process customer data for their work are entitled to use the system containing personal data. Each user has their own username and password for the system. The information is collected in databases that are protected by firewalls, passwords and other technical means. The databases and their backups are located in locked rooms and only certain pre-designated persons can access the data.
We regularly assess the necessity of data retention taking into account the applicable legislation. In addition to this, we take reasonable measures to ensure that no incompatible, out-of-date or incorrect personal data is stored in the register regarding the purposes of the processing. We will correct or delete such information without delay.
Rights related to the privacy protection of the registered person
As a registered user, you have rights in relation to the personal data held by Profile Vehicles Oy.
- A) The right to see the personal information we hold.
- B) The right to request correction of incorrect or incomplete information. If the information is incorrect or incomplete, you have the right to request that the information be corrected, unless restricted by legislation.
- C) The right to request data deletion.
You have the right to request the deletion of your data in the following cases:
- You withdraw your consent to data processing and there is no other justified reason for the processing.
- You object to data processing and there is no acceptable reason for continuing the processing.
- You object to data processing for direct marketing purposes.
- Data processing is illegal.
- It is about the personal data of a minor.
Due to current legislation, in certain cases we are obliged to keep your personal data even after the end of the customer relationship, if data processing is necessary to comply with legal obligations.
- D) The right to restrict the processing of personal data. If you disagree with the correctness or legality of the data we have registered, you have the right to limit the processing of your data only to its retention. The restriction applies until the correctness of the data has been verified and it has been possible to check that the grounds for processing are correct.
- E) The right to object to the processing of personal data for direct marketing and profiling.
- F) Right to data portability
You have the right to receive the personal data you have given us in a machine-readable format. This right applies to personal data that has been processed only automatically and on the basis of consent or the execution of a contract.
If you want to use your rights listed above, requests will be evaluated on a case-by-case basis. Please note that we may also retain and use your information if it is necessary to comply with legal obligations, resolve disputes or enforce agreements. We may also ask you for additional information or to verify your identity before processing the request.

We will respond to requests without undue delay, but no later than 1 month after submitting the request.
